Social Housing Decarbonisation Fund privacy notice

This privacy notice should be read in conjunction with Colchester City Council’s Privacy Policy, Colchester Borough Homes Colchester Borough Homes Data Protection and Privacy policy and the Department for Business, Energy and Industrial Strategy privacy notice.

This privacy notice sets out what personal data we will use, how we will use it, and why we need to in respect of fulfilling the requirements for the social housing decarbonisation funding agreement.

Information collected

We collect and process personal data that you provide to us which may include:

  • name
  • address of property
  • email address
  • telephone contact details
  • details about the expected energy, carbon and cost savings expected to be delivered by the installation, including pre and post-installation property EPC details where appropriate
  • details of current energy usage i.e. Kwh or cost

For the delivery of this scheme, we have to share your property address with the Department for Energy Security and Net Zero (DESNZ). This is so that they can update relevant energy efficiency performance certificates of properties on national government website.

DESNZ would also like to do research and evaluation of the scheme, and for this they would need your name and contact details (email or phone number). However, we will not share this with them unless you consent to us sharing this and are happy for them to follow up with you on the purpose of evaluating the scheme. We will not share any other personal details with them.

We may also share your name and address with:

Interested parties:

  • Ridge who will provide the retrofit assessments and retrofit co-ordinator for the project.
  • Installers who would do complete installations as part of the scheme
  • Technical consultants

Other internal council services including Planning.

The purpose and lawful basis for processing

The lawful basis for the processing of your personal data is public task. Colchester City Council requires the above information to fulfil the requirements of the Social Housing Decarbonisation Funding agreement. This is to check your property’s eligibility for the scheme, and that the works provided to the property fulfil the scheme requirements and commitments. We only collect the minimum amount required and ensure that it is stored securely.

How long will we keep your personal data?

We will retain your personal data for 1 year after the delivery phase has completed. After the year this data will then be destroyed.

How we protect and store your personal data

We take the confidentiality of personal information very seriously and use recognised security and access controls to protect your information from unauthorised access, loss, misuse, alteration or corruption. We have procedures and processes in place to ensure that your personal information is managed appropriately.

Your information may be held outside of the UK. Where this is the case, we ensure that additional measures are in place to protect your data and to ensure that we continue to comply with data protection requirements.

We use cloud providers and online application providers to help us run our business. Therefore the use of some of our systems may include the transfer of your personal data to other countries. Your data will only be transferred to other countries which have adequate provision in place to protect personal data to an equivalent level as personal data held in the UK.

Updates to this privacy notice

We will continually review and update this privacy notice to reflect changes in our processes and procedures, as well as to comply with changes in the law. When such changes occur, we will revise the 'last updated' date on this notice. We encourage you to periodically review this notice and to be informed of how we are protecting your information.
