Organising your own event

High Woods Country Park and countryside sites are excellent venues for a wide range of events and activities - small or large. For example, groups have used the parks and their facilities for sponsored walks, running and cycling events, shows, fun days, orienteering, treasure hunts and much more.

How to book

You must complete the event enquiry form. You will be contacted by the countryside team soon after to confirm your booking.

You should complete the forms with as much notice as possible (at least 2 weeks before your proposed event).

Completion of an enquiry form does not constitute a booking; you will receive separate confirmation if your event can go ahead.

What you need to provide

Public Liability Insurance

You are required to hold a current policy of insurance in respect of public liability or third-party risks (including products liability where appropriate). The relevant limit of indemnity shall be an amount approved by the council's risk and insurance section and legal section. Under no circumstance shall this be less than £5 million and we reserve the right to require a higher limit if deemed necessary.

You will be responsible for ensuring that any exhibitor, band/dance act, sub-contractor, caterer etc. whom you have instructed/authorised to appear at the event, has adequate insurance in respect of Public Liability or Third-Party Risk.

Risk assessments

You will also need to submit a risk assessment for the event, identifying all risks associated with the event and what preventative measures you will take to minimise these risks.

Environmental Impact Assessment (EIA)

EIAs make sure that project decision makers think about the likely effects on the environment at the earliest possible time and aim to avoid, reduce or offset those effects. This ensures that proposals are understood properly before decisions are made.

Event plan and route map

A detailed map showing what areas of the site you will be on and any route you will use to access these areas.

The site ranger may request an on-site meeting with you to highlight any particular features to be aware of and any other considerations that might need to be factored in when planning your event.

What happens once you have completed the form?

If we can accommodate your enquiry, you will receive a confirmation email detailing the key points of your visit and any related documents.

If we are unable to accommodate your booking, we will be in contact via phone or email to try to find a time and date to suit your group's requirements.
